Position Overview
We're hiring a Yacht Sales Administrative Coordinator to support our sales team and clients through the full transaction process. You will manage MLS postings, coordinate contracts, schedule surveys and sea trials, communicate directly with buyers and sellers, and ensure that every detail is correct from listing to closing.
This role requires someone who knows yacht sales process inside and out, thrives under pressure, and can juggle multiple deals at once without dropping the ball.
What You'll Do
- Prepare, manage, and track all yacht sales documentation and transaction files
- List yachts on MLS platforms (including YachtWorld, Boat Trader, etc.)
- Schedule and coordinate surveys, haul-outs, closings, and other key events
- Communicate directly with clients, brokers, and vendors to keep deals on track
- Ensure compliance with contract deadlines, documentation standards, and brokerage regulations
- Manage digital folders, CRM updates, e-signatures, and file organization
- Provide listing support (proofreading specs, photo labeling, etc.)
- Track commissions and assist with post-closing paperwork
- Anticipate problems before they happen and find solutions quickly
Requirements
- Minimum 2 years experience in yacht sales administration or similar marine transaction coordination
- Must live within 10 miles of Fort Lauderdale, FL
- Extremely detail-oriented and organized — you love checklists and spreadsheets
- Strong written and verbal communication skills — you’ll be client-facing
- Able to manage multiple deals simultaneously with accuracy and poise
- Familiar with e-signature platforms, MLS listing systems, and Google Workspace
- Fluent or conversational in Spanish is a strong plus
- Comfortable working independently and proactively in a fast-paced environment
- A positive attitude and pride in delivering exceptional service
